Privacy Statement
Instantstream™©
is committed to protecting your online privacy while providing you with the
most useful and enjoyable web experience possible. Additionally, we are
committed to a policy of integrated non-disclosure and will not release
information about the activities of our clients. While you may use many
features of Streamphone™© and Instantstream™© anonymously
as a viewer of an event, you are required to provide personal and corporate
information to create a communication and/or a conference event in which you
may invite others to your communication event or conference event.
Special Note
Instantstream is not running a Spam Service and all emails sent via the
Streamphone services are not promotional in nature. Our clients are using
Streamphone as a video conferencing tool with their customers. Many are using
Streamphone as an alternative to telephone services and still others are using
Streamphone as an in-person sales tool.
How we collect and use personal information
Registering for
membership on Instantstream’s™© web site gives you access to
all the site’s information and features. The only information required is
your name, company name, web site, work title, work/home address, phone
numbers, the time zone e-mail address, country, and ZIP/postal code. When you
enter this information, we will save it in your member profile so that you
won’t have to enter it again. We occasionally may also send you postal
mail to notify you about important changes to the site, new services and
special offers from us and select Instantstream partners. In addition to
receiving e-mail announcements, please note that Instantstream, on the behalf
of registered members, may send you via email, instant messages and/or
phone/pager and other kinds of conference event notices, such as:

- Your Email Verification Notices
- Your New, Renewed, Changes and Lost Password Notices
- Your Membership Notices
- Your Re-Verification Notices
- Event Invitations from both Instantstream and from other members you already know
- Event Cancellation Notices from other members you already know

- Purchases Receipt Notices from Instantstream upon each and every purchase
- Promotional Notices from Instantstream
Our Free Product
Info service lets you sign up to receive e-mail product announcements and other
news from third parties, including software publishers, hardware manufacturers
and service providers. You can add or remove product information topics from
your personal list at any time on your Free Product Info page. Instnatstream
works with the world’s leading e-mail announcement service to prevent
unauthorized use of your e-mail address and make sure you receive information
only about the topics you specify.
How we protect your personal information
All personal and corporate data you enter on Instantstream is encrypted with secure server
software (SSL) that encodes the information before your Web browser software
sends it to us. The SSL software decodes the data only after it reaches our
server, meaning hackers can’t snatch any of your personal information
while it is in transit. Once the data reaches our site, the same
state-of-the-art security software we use to guard all of our company’s
essential business data protects your personal data as well.
In addition to using the most secure technology available, we work tirelessly
to make sure that we use any information you provide us only in ways you have
approved. We send you only the e-mail you have approved in your account
information or on your e-mail subscription sign-up page.
Profile
Each registered
user must fill out a profile and provide credit card information. We store
information that we collect through cookies, log files, clear gif's, and/or
third parties to create a profile of our users. A profile is stored information
that we keep on individual user, that details their viewing preferences,
payment history, access statistics and other technical usage information.
Consequently, collected information is tied to the users personally
identifiable information to provide offers and improve the content of the site
for the user. We do not share your profile with other third parties with the
exception of your credit card company.
Logfile
Like most
standard Web site servers, we use log files. This includes internet protocol
(IP) addresses, browser type, internet service provider (ISP), referring/exit
pages, platform type, date/time stamp and number of clicks to analyze trends,
administer the site, track user’s movement in the aggregate and gather
broad demographic information for aggregate use. IP addresses, etc. are not
linked to personally identifiable information with the exception of quality of
service tracking, credit card processing and payment services. IP addresses are
tied to personally identifiable information to enable our Web-based service to
track the quality of services each customer is receiving. We use our
proprietary tracking utility called IMLEC™© that uses log files to
analyze user movement, call detail records and for credentialing registered
users for accessing our clients broadcasts.
How we use "cookies"
As you probably
know, "cookies" are small pieces of information that some Web sites
store on your computer's hard drive when you visit them. Like many other Web
sites, Instantstream™© uses cookies to identify members so they
don’t have to enter a user ID and password upon each visit. Most Web
browsers automatically accept cookies but allow you to modify security settings
so you can approve or reject cookies on a case-by-case basis. Even if you do
not use cookies, you can still access all of the features on our site by
logging in manually with each visit.
Communications from the site
Special offers and updates
We send all new members a welcoming email to verify password and username.
Established members will occasionally receive information on products,
services, special deals and a newsletter. Both established and non-members
shall receive a number of email confirmations and the Streamphone e-mail
conference in their email. This Streamphone e-mail conference is sent on behalf
of our customers that invite or request you to attend as a participant or as a
viewer one or more of their broadcast/webcast events. Out of respect for the
privacy of our users we present the option not to receive these types of
communications. Please see the Choice and Opt-out sections.
Newsletter
If a user wishes to subscribe to our newsletter, we ask for contact information
such as name and email address. Out of respect for our users privacy we provide
a way to opt-out of these communications. Please see the Choice and Opt-out
sections.
Service availability announcements
On rare occasions it is necessary to send out a strictly service related
announcement. For instance, if our service is temporarily suspended for
maintenance we might send users an email. Generally, users may not opt-out of
these communications, though they can deactivate their account. However, these
communications are not promotional in nature.
Service related emails
As an integrated part of the Streamphone service, registered clients may send a
number of kinds of notices to both registered and non-members via standard
email delivery. Also, the Instantstream web site delivers Streamphone service
via standard email delivery as well as the below listed notices. Each
registered client and non-member may Opt/out of each event individually upon
receipt of the Streamphone email conference. Our users are given the
opportunity to ‘opt-out’ of any email or any event at any time.

Tell-A-Friend
If a user elects to use our Streamphone referral feature (“For Forwarding
Vmail™ to friend”) for informing a friend about our site and/or for
including a friend in a broadcast, or to forward a Streamphone econference
event we ask them for the friend’s name and email address. Instantstream
will automatically send the friend a one-time email inviting them to view the
Streamphone communication, econference and/or to visit the site. Instantstream
stores this information for the sole purpose of sending this one-time email and
issuing password access to the event. Plus, Instantstream tracks the success of
our referral program. The friend may contact Instantstream via the link in the
Vmail via the link inserted in the email to earth register for a free account
or opt out of that event. An Opt-out request removes (“Deletes”)
that person from only the referred event and Instantstream shall record
Opt-outs in our secured database.
Choice / Access
Instantstream provides users the opportunity to opt-in and opt-out of receiving
e-mail conferences from other members by way of the Instantstream web site and
email server. Additionally, promotional email advertisement may be mailed from
Instantstream to the users; in this case, Instantstream provides users the
opportunity to opt-in and opt-out of receiving e-mail promotions and
advertisements. However, because of the nature of the Instantstream software,
and the Streamphone service, other member may also send email e-conferences and
e-conference notification by way of the Instantstream’s Streamphone
software and email server. In the case of member-to-member email conferencing
and unwanted solicitations, Event Opt-out is made available during each e-mail
message delivered from Instantstream’s Streamphone Systems. Users
requesting Instantstream e-mail communications may update, amend or delete
personal information by following the Profile Update links present in every
Instantstream e-mail communication or via the Instantstream web site.
Customer service
We communicate with users on a regular basis to provide requested services and
in regards to issues relating to their account we reply via email or phone, in
accordance with the users wishes.
Legal disclaimer
Though we make every effort to preserve user privacy, we may need to disclose
personal information when required by law wherein we have a good-faith belief
that such action is necessary to comply with a current judicial proceeding, a
court order or legal process served on our Web site.
Third Party Intermediaries
We use an outside shipping company to ship orders and a credit card processing
company to bill users for goods and services. These companies do not retain,
share, store or use personally identifiable information for any secondary
purposes.
Notice of Change
Instantstream reserves the right to change its privacy policy at any time.
Notifications of changes to our privacy practices will occur through one or
more of the following communications; Posting of a message on the Instantstream
web site or changes to this privacy statement from time to time. Also, review
the Terms of Use Agreement as it may be updated from time to time without
notice to the user, participant, viewer or event owner.
What we provide to third parties
While Instantstream™© does not provide any third-party access to
your personal information except to facilitate your own attempts to register
with our partners or receive offers from select partners as mentioned elsewhere
in this policy, we may provide third parties with aggregate statistics about
our customers, traffic patterns and related site information. This data
reflects site usage patterns gathered during millions of customer visits to our
Web site each month, but it does not contain behavioral or identifying
information about any individual member unless that member has given us
permission to share that information.
Instantstream™© does not use a third-party advertising company to serve ads when you visit our
site. This company may use information (not including your name, company name,
web site, work title, work/home address, phone numbers, the time zone e-mail
address, country and ZIP/postal code) about your visits to our and other Web
sites in order to provide event owners with the identity of the viewer watching
the proprietary copy written content. In addition, for the purpose of managing
conference events and for security, when you open on an
email-conference™© we note the email-conference you watch through
the use of pixel tags (also called “clear gifs”) and if you chose
to activate the active x component to take full advantaged of all the
Instantstream services we shall provide advanced premium services.
Obtaining your consent
By using our Web
site, agreeing to the Streamphone™© Service Agreement, Instantstream
the Mutual Non-Disclosure Agreement and clicking the acceptance button, you
give permission to collect information about you. Those information includes
your professional associations, employment information, credit card data,
telephone information, email information, your affiliation with other
organizations and people and the pages served to you as a registered user for
the purpose of calculating aggregate site statistics. If you register at
Instantstream you authorize Instantstream to use information you provide to
personalize the information we deliver to you and to use your demographic
information when calculating aggregate customer data. As a registered member,
you give Instantstream permission to send you e-mail conferences, e-mails
related to the subscription e-mail-conference services to which you subscribe
and the Free Product Info.
If you are under the age of 18, you must not provide your name, e-mail address,
or any other identifying information with out the consent of your parent or
guardian, or as otherwise provided for by applicable law.
Any changes to our privacy policy will be posted on this page, the Service
Agreement page and the Mutual Non-Disclosure Agreement page so that you are
always aware of what information we collect, how we use it and under what
circumstances we disclose it.
